Self-guided walkthrough of Rundoo for new staff — about two hours of video across four trainings (Daily fundamentals, Customers / Products / Vendors, the Admin side, Statements / Inventory / Reporting), plus hardware setup and a go-live checklist. Watch in order, or jump to a section. Each training ends with homework you can try in your own Rundoo training environment. If you're brand new to Rundoo, Welcome to Rundoo is a five-minute overview worth reading first.

Before you start

Practice in your training environment, not your live store. Until go-live, your Rundoo tenant is a sandbox — meaning you can run transactions, take payments, generate statements, etc., and the data will be wiped before go-live. Two things to keep in mind:

  • Any change you want to keep on go-live, make in your original system — not in Rundoo's sandbox.

  • The data is real for sending purposes. If you ring up a customer set to receive an automatic emailed invoice, they will get the email. Use a test customer (or yourself), and skip real card charges.

If you're using the QuickBooks accounting integration, Rundoo will always use average cost. If you choose standard cost for reporting in Rundoo, there will be a variance between costs (impacting COGS and inventory) in QuickBooks vs. Rundoo.

  • Confirm company info (name, website, etc.) and per-location info (name, email, address) is correct.

  • Create one rule-based pricing tier and add a rule to it.

  • Create a tag and apply it to one customer or product.

  • Review and apply your preferences under Communications > General.

The Type and Invoices toggles set the shape of the statement:

  • Type — Open Item: shows payments and total due per invoice. With open-item statements you can also enable a customer-level setting to restrict outstanding invoice PDFs to the statement period.

  • Type — Balance Forward: shows the carried balance at the top.

  • Invoices — Full Page: a full page per invoice attached to the statement.

  • Invoices — Condensed: multiple condensed invoices on a single page.

  • Invoices — None: just the statement summary, no attached invoices. The most paper-saving option if you print statements.

You can override these per customer under Customer > [Customer] > Settings > Statements. See Statements for examples of each format.

Go-live day checklist

About 30 minutes before your store opens on go-live day, walk through this list with your Rundoo Implementation Manager to confirm everything carried over correctly.

  • Transactions — draft transactions came over.

  • Customers — balances and credits, statement settings (finance terms, finance charges, statement type), pricing tiers, tax exemptions.

  • Products — inventory levels (including any negative inventory), Sales YTD, departments / classes / finelines, UPCs.

  • Vendors — vendor email addresses for ordering.

  • Orders — draft purchase orders.

  • Locations — company logo (verify it's also updated on the Stripe reader), company info (email, name, Google review link, etc.).

  • Integrations — Benjamin Moore programs, EDI integrations, etc., set up where applicable.

Also worth a final check: return policy and statement messaging, credit-card surcharge settings, and admin-level settings.
