New hire training

New hires come up to speed in Rundoo through guided video and hands-on practice in your live store. This page is the playbook a manager hands a new cashier or bookkeeper on day one — what to watch, in what order, and what to try right after each video. Every training video is embedded inline so the new hire can work through the whole thing from this one page.

Before they start

Three things on the manager's side before day one:

  1. Create their Staff record. In Admin > Staff, add the new hire with the right Role (Cashier, Manager, or Bookkeeper) — Role controls what they can see and do. See Staff.

  2. Send them your store's Rundoo URL. It looks like {yourstore}.rundoo.app — the same one in your welcome email. Have them bookmark it on day one.

  3. Walk through safe-practice rules before they ring anything up (see callout below). Your store is live, so there is no sandbox — every transaction they touch is real to the customer.

Your store is live, so practice happens in the real Rundoo — there's no separate sandbox to send a new hire to. Two rules keep it safe. (1) Use a test customer for every practice transaction — yourself works, or a customer named Training. Avoid charging a real card. (2) If the customer you're using is set to receive automatic emailed invoices, text receipts, or statements, turn those off under Customer > [Customer] > Settings before practicing — anything they'd normally receive will still send. Statements at month-end will include practice transactions unless you void them first.

Day 1: Sign in, navigate, ring up a sale

Target: by end of day, they can sign in on their own, find anything in the sidebar, and ring up a cash sale to a test customer. About 90 minutes of video + practice.

First, the foundations:

  • Read Welcome to Rundoo — five-minute overview of what Rundoo is and the two modes (POS vs. Admin).

  • Walk through Sign-in together. Have them sign in via text or email code; hardware keys come later in Week 1.

  • Walk Navigation and Search — they'll use Search constantly to jump to a product, customer, or past sale.

💡

Most cashiers find Search faster than the sidebar. Demo it on day one — typing the first three letters of a product name or a customer phone number is usually all it takes.

Two cashier gotchas worth pointing out in person. (1) Most create modals — Add vendor, Add contact, New PO, New transfer — do nothing on empty submit. No toast, no red border. The new hire will think the system is broken; it's just waiting on required fields. (2) Confirmation banners (Sale completed, Vendor saved) flash for about two seconds at the bottom. If they miss it, they may re-submit and create a duplicate.

Week 2: Records and bulk edits

For anyone who'll edit customer, product, or vendor records — not just ring up at POS. About 45 minutes of video. Skip this whole section for a pure-cashier hire.

Hardware

Most new hires share a workstation that's already configured, so they don't need to learn the hardware setup itself — they just need to know what to do when something stops working. Send them to Hardware setup for the big picture and the troubleshooting Rundocs for the specific device when it acts up: Printer troubleshooting, Card reader troubleshooting, Scanner troubleshooting.

If you've issued them a YubiKey or NFC key, Login keys walks the registration. The mobile apps (POS and CXA) live in Mobile apps.

A new-hire checklist

Print and hand to the new hire on day one. Each row is something they should be able to do — not just have watched — by the end of the week shown.

  • [ ] Day 1 — Sign in on my own. Find Sales, Customers, Products, Admin in the sidebar. Search for a product by name.

  • [ ] Day 1 — Ring up a cash sale to a test customer. Ring up a charge sale on a house account.

  • [ ] Week 1 — Create a draft and a will-call. Convert a draft to a sale.

  • [ ] Week 1 — Run a linked return and an unlinked return.

  • [ ] Week 1 — Set a cash float at open. Close out the drawer at end of day.

  • [ ] Week 1 — Take a bill payment on a customer's house account.

  • [ ] Week 2 (records role) — Add a new customer and a new product from scratch. Edit an existing one.

  • [ ] Week 2 (records role) — Run a bulk import on a small test file (a handful of rows).
